STUDIO TERMS AND CONDITIONS/MEMBERSHIP AGREEMENT

 

PART 2. Membership Terms & Conditions

1.Membership Structure

Memberships are available monthly or annually and include a set number of classes to use within the membership term.

Monthly Memberships
Your monthly membership includes the 8 allocated number of classes to be used during each monthly billing cycle.

Annual Memberships
Annual memberships include a set number of classes (equivalent to approximately 8–10 classes per month) and are valid for 12 months or until all classes have been used—whichever comes first. Memberships will renew upon class completion unless cancelled in accordance with our cancellation policy.

While we do not limit how many classes you attend in any given month, we kindly encourage members to spread their classes throughout the year. This helps ensure fair access and availability for all members while allowing everyone to enjoy our class schedule.

Classes must be used within the applicable period. Unused classes do not roll over to subsequent weeks, months or years.

  1. Limited Schedule Weeks

The studio is Education Driven and therefore will be designated weeks throughout the year when the studio will operate on a limited class schedule. This is reflected in the pricing.

During these weeks:

  • Classes will be offered on three (3) specific days of the week
  • Members may book classes on any of the available days.
  • These weeks may coincide with holidays, instructor training, workshops, Open studio days, studio maintenance, or seasonal schedule adjustments.

The studio will provide advance notice of limited schedule weeks whenever possible. LIMITED SCHEDULE WEEKS DO NOT EXTEND, PAUSE OR ALTERMEMBERSHIP PRICING OR CLASS ALLOTMENTS.

  1. Class Booking

Members must reserve a choice of classes in advance through the booking system of the instructor leading the class.

  • Reservations are first-come, first-served.
  • A valid membership must be active at the time of booking and attendance.
  • Members may only attend the number of classes included in their membership. *

 

  1. Cancellation Policy

Members must cancel their reservation at least 24 hours in advance of the scheduled class with the instructor they have booked it with.

Late cancellations or no-shows result in:

  • Loss of the class credit
  • A potential late cancellation fee (if applicable)

 

  1. Missed Classes

Unused/Missed classes do not roll over to the following month or subsequent year.
Members are encouraged to schedule their classes in advance to ensure availability.

  1. Membership Commitment

Memberships are structured as monthly and annual.

The membership is valid for the number of classes and duration of the term unless otherwise permitted under the studio’s transfer policy.

For Example: An annual membership that allows for 8-10 classes a month will renew in 12 months or when class balanced is exhausted.

Whist we cannot limit the number of classes attended in a single month we encourage members to adhere to the allowance to allow for all members to access classes.

  1. Membership Transfer or Pause

Members may request a one-time membership transfer under certain circumstances (injury, relocation or medical reasons), subject to studio approval.

Members may request up to an 8-week membership Pause under certain circumstances (injury, relocation, or medical reasons). Requests must be submitted in writing and may require documentation from a medical professional.

  1. Studio Schedule Changes

The studio reserves the right to:

  • Adjust the class schedule
  • Reassign Resident Teachers, Studio Teachers or Subs
  • Modify class times
  • Implement limited schedule weeks

These adjustments are made to maintain the quality and sustainability of the program.

  1. Studio Policies

Members agree to follow all studio policies, including:

  • Arriving on time for class (no more than 5-10 mins ahead is preferred)
  • Respecting instructors and other members
  • Using equipment safely and responsibly
  • Following Studio and Dress Code Etiquette

Failure to comply with studio policies may result in suspension or termination of membership and request to leave.

  1. Liability Waiver

Participation in Pilates and exercise programs involves inherent physical risk.

By participating in classes, members acknowledge and accept these risks and agree that the studio, its owners, instructors, and resident teachers are not liable for injuries sustained during participation.

Members are encouraged to consult with a medical professional prior to beginning a new exercise program and discuss with their instructor any physical or mobility limitations.

Please read and sign the additional PARQ; you will be required to sign it prior to booking.

  1. Agreement

By purchasing or activating a membership, the member acknowledges that they have read, understood, and agreed to these Terms and Conditions.

Cancellation, Late Cancel & No-Show Policy

  1. Cancellation Policy

Individual Sessions and Group Class Members must cancel a scheduled class no less than 24 hours prior to the class start time.

Cancellations made within the 24-hour window are considered late cancellations.

Late cancellations will result in:

  • The loss of the class credit and/or any associated booking fees.

This policy ensures that other members have the opportunity to book available spots.

  1. No-Show Policy

If a member fails to attend a reserved class without cancelling, it will be considered a No-Show.

No-shows will result in:

  • The loss of the class credits and/or any associated booking fees.

Repeated no-shows may result in temporary suspension of advance booking privileges.

Late Cancellations and No-Shows

  1. Late Arrivals

Members arriving more than 5 minutes after the start of class may not be admitted.

This is for the safety of the participant and to avoid disruption to the class.

If entry is not permitted due to late arrival, the class will be considered a late cancel or no-show.

This is a reception-free studio to keep cost down for members. Advanced BOOKING online is required. The doors will lock when the session begins.

  1. Waitlist Policy

If a member joins a waitlist and is automatically added to a class, the standard cancellation policy applies.

Members are responsible for removing themselves from the waitlist prior to the 24-hour cancellation window if they no longer wish to attend.

  1. Studio Instructors and Resident Teachers-Cancelled Classes

If the Studio Instructor or Resident Teacher cancels a class:

  • The class credit will be returned to the member’s account, and
    • No cancellation fee will apply.
  1. Enforcement

To maintain fairness and class availability for all members, all cancellation and no-show policies will be strictly enforced. Exceptions may be made at the discretion of the studio for emergencies or documented medical issues.

  1. No Extension Policy

Membership classes are valid only within the designated membership period and will not be extended for missed, unused, or unbooked classes.

Members are responsible for scheduling and attending their allotted 8-10 classes per month as part of their annual classes included in the membership.

Unused classes do not roll over, pause, or extend into future months except under the limited circumstances outlined in the Membership Transfer Policy below.

  1. One-Time Membership Transfer Policy (Exceptional Circumstances)

In rare and exceptional circumstances, a member may request a one-time transfer of their remaining membership classes to another individual.

Transfers may be considered only in the following situations:

Serious medical condition or injury
• Permanent disability preventing continued participation
• Relocation outside of the studio service area
• Death of the member
• Major extended family emergency or hardship

All transfer requests must be submitted in writing and may require supporting documentation.

If approved:

  • The transfer may only occur one time per membership term.
    • The remaining classes must be transferred in full to a single individual.
    • The recipient must agree to all studio policies and membership terms.

A $50 Membership Transfer Fee will apply to process the transfer.

The transferred membership must be used within the remaining original membership period and will not be extended beyond the original term.

The studio reserves the right to approve or deny transfer requests at its sole discretion.

  1. Non-Transferable Membership

Except for the one-time transfer allowance described above (line item 19), memberships are non-transferable and non-refundable.

 

  1. A Final Word

Our policies help us create a fair, welcoming, and respectful studio for everyone.
